BEAUTYPLUS ACADEMY

Terms & Conditions Brief Outline:

  1. ACCEPTANCE OF TERMS

By enrolling in any course, purchasing services, or accessing training materials provided by BeautyPlus Academy (“the RTO”), you agree to be bound by these Terms and Conditions.

PART A: GENERAL TERMS

  1. SCOPE

2.1 These Terms apply to all students, users, and participants engaging with the RTO.
2.2 The RTO reserves the right to amend these Terms at any time. Updates will be published on the official website.

  1. ELIGIBILITY

3.1 Students must be at least 18 years of age.
3.2 The RTO reserves the right to refuse enrolment at its discretion.
3.3 Courses are not available to individuals requiring a student visa for study purposes, as the RTO is not CRICOS registered.

  1. INTELLECTUAL PROPERTY

4.1 All training materials remain the property of the RTO.
4.2 Students must not copy, reproduce, distribute, or commercialise course content without written consent.

  1. PRIVACY

5.1 The RTO collects and manages personal information in accordance with the Privacy Act 1988 (Cth).
5.2 Student data may be shared with regulatory bodies where required by law.

PART B: ENROLMENT & TRAINING

  1. ENROLMENT TERMS

6.1 Enrolments are non-transferable.
6.2 Access is granted for a standard period of 12 months unless otherwise specified.
6.3 Maximum enrolment duration, including extensions, is 24 months.

  1. UNIQUE STUDENT IDENTIFIER (USI)

7.1 A valid USI must be provided for nationally recognised training.
7.2 Certificates will not be issued without a verified USI.

  1. COURSE COMPLETION

8.1 Completion is determined only upon:

  • successful assessment submission
  • competency sign-off by the RTO

8.2 Issuance of a certificate does not guarantee:

  • clinical competency
  • employment outcomes
  • legal eligibility to practice
  1. EXTENSIONS

9.1 Extensions may be granted at the discretion of the RTO.
9.2 Extension fees may apply (up to 50% of course cost).

  1. STUDENT CONDUCT

10.1 Students must behave professionally at all times.
10.2 The following are prohibited:

  • plagiarism
  • cheating
  • abusive or discriminatory behaviour

10.3 Breaches may result in:

  • suspension
  • cancellation without refund

PART C: FINANCIAL TERMS

  1. FEES

11.1 A non-refundable administration fee of $500 applies.
11.2 Payment plans are implemented to comply with RTO fee protection requirements.
11.3 The RTO will not require more than $1,500 prepaid fees at any time where applicable to all National Accredited Training Courses only.

  1. LATE PAYMENTS

12.1 Payments are due within 7 days of invoice.
12.2 Overdue accounts may incur a reasonable administrative late fee (up to 10%).
12.3 Access to training may be suspended until payment is received.

PART D: REFUND & CANCELLATION

  1. REFUND POLICY

All refund requests must be submitted in writing.

13.1 Before Course Commencement

  • 28+ days: Full refund minus $500 admin fee
  • 14–27 days: 50% refund minus $500 admin fee

13.2 No Refund Applies Where:

  • course has commenced
  • learning materials have been accessed
  • student fails to attend (no-show)

13.3 IMPORTANT LEGAL NOTICE

Nothing in this policy excludes or limits your rights under the
Australian Consumer Law.

Refunds will be provided where required under applicable law.

PART E: ONLINE LEARNING

  1. TECHNICAL REQUIREMENTS

15.1 Students are responsible for their own devices and internet access.
15.2 Technical issues on the student’s side do not qualify for refunds.

  1. ASSESSMENTS

16.1 Standard marking timeframe: 3–10 business days
16.2 Required components must be completed prior to practical sessions

PART F: LIABILITY & RISK

  1. CLINICAL RESPONSIBILITY

17.1 The RTO does not provide insurance coverage.
17.2 Students are responsible for obtaining:

  • professional indemnity insurance
  • public liability insurance
  1. LIMITATION OF LIABILITY

18.1 Services are provided “as is”.
18.2 To the maximum extent permitted by law, the RTO is not liable for:

  • injury
  • financial loss
  • business loss
  • treatment outcomes
  1. INDEMNITY

Students agree to indemnify the RTO against any claims arising from:

  • misuse of training
  • breach of law
  • professional practice

PART G: COMPLAINTS & APPEALS

  1. COMPLAINTS PROCESS

20.1 Students may lodge complaints in writing.
20.2 The RTO will acknowledge complaints within 5 business days.
20.3 A formal outcome will be provided within 10–15 business days.

  1. APPEALS

21.1 Students may appeal decisions within 10 business days.
21.2 Appeals will be reviewed independently where possible.

  1. EXTERNAL ESCALATION

If unresolved, students may escalate complaints to relevant authorities.

PART H: GENERAL LEGAL

  1. FORCE MAJEURE

The RTO is not liable for delays caused by events outside its control, including:

  • natural disasters
  • government restrictions
  • pandemics
  1. GOVERNING LAW

These Terms are governed by the laws of
New South Wales, Australia.

Fee Administration and Refund Policy Details:

Relevant Standards

This policy has been developed in accordance with the following legislative and regulatory instruments:

  • National Vocational Education and Training Regulator (Outcome Standards for NVR Registered Training Organisations) Instrument 2025 – Standard 2.1
  • National Vocational Education and Training Regulator (Compliance Standards for NVR Registered Training Organisations and Fit and Proper Person Requirements) Instrument 2025 – Clause 18: Prepaid Fee Protection Measures.

Purpose

BeautyPlus Academy adheres to the relevant compliance and legislative frameworks, including the Standards for Registered Training Organisations (RTOs) 2025. This policy ensures transparency in the application and administration of all fees and charges, and establishes a fair and reasonable refund process consistent with Australia’s consumer protection laws.

The purpose of this policy is to provide for the appropriate application and administration of fees and the handling of VET student refunds.

Policy Principles

BeautyPlus Academy implements fair and reasonable refund practices and transparent processes for fee application and administration. BeautyPlus Academy will ensure that:

  • Prospective students are made aware of its fee policies prior to enrolment, enabling informed decisions;
  • Its fee and refund policy is prominent and accessible to staff, prospective students, and existing students;
  • A process for fair and reasonable refunds is implemented and maintained; and
  • Refunds are provided for fees and charges paid by VET students where training and assessment activities have not been delivered as contracted.

Cancellation and change fees are determined according to:

  • The notice period given by the person making the request; and
  • The value of the course enrolled in.

Fee Administration Policy

Fee Information

BeautyPlus Academy will inform prospective students and employers (where applicable) of the full and accurate course fees and refund policy prior to enrolment. The fee and refund policy will be accessible to staff, prospective students, and existing students at all times.

Fee Administration Principles

BeautyPlus Academy will:

  • Only charge fees for accredited training in accordance with published fee information and this policy;
  • Retain accurate records of course fee payments, waivers, exemptions, and refunds for each student;
  • Require payment prior to commencement of training, with pre-payment plans available for students;
  • Apply standard student fees for Fee-for-Service (FFS) students;
  • Allow course fees to be paid on behalf of a student by their employer or an approved third party where applicable; and
  • Maintain arrangements for the protection of any fees paid in advance in accordance with Compliance Requirement 18 – Prepaid Fee Protection Measures.

Fee Payment Arrangements

BeautyPlus Academy ensures that its financial practices promote the protection of prepaid fees. In accordance with Compliance Requirement 18, BeautyPlus Academy will only collect fees in excess of the $1,500 threshold via an approved fee protection measure.

The following payment arrangements apply:

  • A non-refundable enrolment administration fee of $500 is collected upon enrolment;
  • Tuition fees are structured as instalment payment plans to ensure students do not prepay fees exceeding $1,500 at any one time;
  • The schedule of payment instalments is outlined in each student’s enrolment form;
  • Fees must be paid in full before certification will be issued;
  • Where a payment instalment becomes overdue by more than 14 days, BeautyPlus Academy reserves the right to suspend the student’s access to learning and/or assessment activities until all outstanding fees are paid; and
  • Flexible payment options — including instalments, credit card, direct debit, cheque, and EFT — are available to accommodate the diverse financial circumstances of VET students.

Outstanding Student Fees

Non-payment of fees by the due date for continuing enrolments will result in suspension of training. BeautyPlus Academy will notify all relevant parties in writing in the event of any suspension. Once outstanding fees have been paid, all parties will be notified and training will recommence.

Additionally:

  • A recommencement fee may be charged to cover administration costs associated with reinstating suspended training;
  • Statements of Attainment (SOAs) or Certificates will not be issued while training fees remain outstanding; and
  • Students will be informed of the process for recovery of outstanding fees prior to enrolment through this policy.

Refund Policy

Consumer Law

BeautyPlus Academy, as a business registered in Australia, is bound by the Australian Consumer Law (ACL), which outlines consumer rights in relation to refunds for products and services. BeautyPlus Academy will issue refunds in accordance with the ACL.

Please note that refunds will not be provided simply because a student has:

  • Changed their mind;
  • Found an equivalent course at a lower price elsewhere;
  • Decided they no longer wish to complete the course; or
  • Found they have no further use for the training.

Grounds for Refund

Refunds will be provided by BeautyPlus Academy where:

  • A student has been unable to complete their course due to the unavailability of BeautyPlus Academy’s services; or
  • BeautyPlus Academy, or a contracted sub-provider, has failed to maintain or deliver the agreed training services.

Refunds will not be granted where a student’s inability to access training is due to their own circumstances, including but not limited to:

  • Personal internet connection failure;
  • Personal IT hardware that does not meet the minimum system requirements; or
  • Corporate internet access restrictions that block access to BeautyPlus Academy’s e-Learning platform.

Refund Process

The following principles apply to all refund requests:

  • All refund requests must be submitted in writing using the Refund Request Form. BeautyPlus Academy will only acknowledge and assess requests submitted through this form, except in cases of mitigating circumstances supported by verifiable evidence;
  • Before processing a refund, BeautyPlus Academy will, where possible, first encourage the student to continue training or offer an alternative course date;
  • Refund requests submitted within the Refund Period (28 calendar days prior to course commencement) will be assessed, and an eligible refund of the course fee, less the applicable administration fee, will be issued provided the student has no outstanding monies with BeautyPlus Academy;
  • No refund will be issued for cancellations made outside the Refund Period unless otherwise determined at the discretion of the CEO;
  • BeautyPlus Academy will process refund requests within 5 business days of receipt. Approved refunds will be reimbursed within 30 calendar days;
  • All refunds will be paid to the person or organisation that originally paid the fees; and
  • A Statement of Fees — including all fees applied and any fees refunded — will be provided to any student who withdraws from training.

Circumstances Where No Refund Applies

BeautyPlus Academy will not provide a refund where:

  • A student has commenced their course or accessed any unit of study;
  • A student withdraws due to changes in their work hours;
  • A student relocates interstate or overseas;
  • A student fails to complete the qualification after assessment has been partially completed;
  • Recognition of Prior Learning (RPL) resources and services have been supplied to the student; or
  • A student fails to attend without providing notice (no-show).

BeautyPlus Academy may, at the CEO’s discretion, consider a partial refund for students who have commenced training where exceptional circumstances apply.

Course Cancellation by BeautyPlus Academy

In the event that BeautyPlus Academy cancels a course for any reason, all enrolled students will receive a full refund of fees paid or, where possible, the opportunity to transfer to another scheduled course date at no additional cost. Students do not need to apply for a refund in this circumstance — refunds will be processed automatically.

BeautyPlus Academy accepts no liability for any loss or damage suffered by a student in the event of course cancellation.

Deposits

From time to time, a deposit may be required to secure a place on an upcoming course. All deposits are non-refundable.

Late Arrivals

Arriving late to a course affects the learning outcomes of all students. BeautyPlus Academy reserves the right to refuse entry to any student who arrives late to a course. No refund will be provided in such circumstances.

Supply of Course Prerequisites

Some courses have prerequisites that must be supplied prior to commencement. These will be communicated on the BeautyPlus Academy website, in the booking confirmation, and verbally if the booking is made by phone.

Where a prerequisite has not been received by 5:00pm AEST (Sydney time) on the business day prior to the course, the enrolment will be cancelled and entry will be refused. In such cases, the course fee will not be refunded or held in credit.

Unique Student Identifier (USI)

From 1 January 2015, all students undertaking nationally recognised training delivered by a Registered Training Organisation are required to hold a valid Unique Student Identifier (USI). BeautyPlus Academy cannot issue a nationally recognised Certificate or Statement of Attainment without a verified USI on file.

Students must provide their USI at the time of enrolment. If a student does not yet have a USI, one can be created at usi.gov.au (the process takes approximately three minutes). For assistance, students may contact BeautyPlus Academy on 02 9585 2811 or email info@beautyplus.nsw.edu.au.

E-Learning Specific Terms

Student Visa Holders

BeautyPlus Academy is not registered with the Commonwealth Register of Institutions and Courses for Overseas Students (CRICOS). As such, individuals who hold a student visa are not eligible to enrol in, participate in, or attend any BeautyPlus Academy course — whether delivered face-to-face or online. Student visa holders should seek a CRICOS-registered institution for their training needs.

Enrolment Term and Maximum Duration

For courses delivered wholly online, the enrolment term commences at the time of purchase, at which point the student will be provided with their login credentials via email. For courses delivered in part online, the enrolment term commences on the first day of the face-to-face training component.

Unless otherwise advised at the time of enrolment, the standard enrolment term is 12 months. If a student has not completed their training within the standard enrolment term, the enrolment will be cancelled and the student’s account will be disabled.

Students who wish to continue their studies after the standard enrolment period expires may apply for a 12-month extension at 50% of the original course cost. Enrolment periods cannot exceed 24 months in total, and fees will not be reduced if an extension is requested after the initial 12-month period has expired.

Login credentials must not be shared with or distributed to any third party under any circumstances. Any breach of this requirement will result in the immediate suspension of the student’s account.

Participant Support

During the enrolment term, student support is available during BeautyPlus Academy’s business hours of 9:00am to 5:00pm AEST (Sydney time). Support services are specific to the course enrolled in and are detailed in the relevant course guide. To contact the Online Faculty Team, students may call 02 9585 2811 during business hours.

Assessment Marking Timeframes

Upon successful enrolment, students will be notified of their assigned trainer and/or assessor. BeautyPlus Academy will endeavour to mark and return submitted assessment items within 3 business days of receipt. Larger or more complex assessments may take longer. If a student has not received a response to their submission within 10 business days, they should contact BeautyPlus Academy to follow up.

Blended Courses — Online and Face-to-Face

For courses that combine online and face-to-face components, students must achieve a Competent result in all online assessment items prior to attending their face-to-face training day(s). Students who have not reached a Competent result will not be permitted to participate in the face-to-face component. In such cases, the course fee is forfeited and a rebooking fee will apply.

Virtual Classroom Courses

Students enrolled in virtual classroom courses bear full responsibility for ensuring they have the necessary technology, internet connection, and technical capability to participate. Minimum system requirements are provided at the time of booking, along with guidance for testing your system in advance. Students agree to perform this testing prior to their session.

The following applies in the event of technical difficulties:

  • If technical issues arise from BeautyPlus Academy’s infrastructure (e.g. a system or network outage on BeautyPlus Academy’s end), no rebooking fees will apply;
  • If technical issues arise from the student’s infrastructure — including but not limited to their device, peripherals, internet connection, or connection to BeautyPlus Academy’s system — no refund will be available and rebooking fees will apply. This applies even where the issue was outside the student’s control (e.g. an internet service provider outage). By enrolling, students accept this risk.

The determination of which party is responsible for a technical failure will be made by BeautyPlus Academy’s IT team based on a review of system logs.

Cancellation and date change fees for virtual classroom courses are the same as those that apply to face-to-face courses, as set out in this policy.

Minimum System Requirements

Students are responsible for their own computer or device and internet connection. Minimum system requirements are specified for each course at the time of booking. BeautyPlus Academy is not responsible for any problems caused to or by a student’s equipment, including viruses or technical failures.

Students are responsible for all connection, access, and data costs, as well as for installing, maintaining, and operating their own equipment.

Intellectual Property and Content

Ownership of Course Materials

All training materials, course content, and related resources provided by BeautyPlus Academy remain the intellectual property of BeautyPlus Academy. Students must not copy, reproduce, distribute, or commercialise any course content without prior written consent.

Student-Generated Content

Students retain ownership of content they personally create and post during their enrolment. However, as a condition of enrolment, students grant BeautyPlus Academy a perpetual, non-exclusive, transferable, royalty-free licence to edit, modify, copy, publish, distribute, and otherwise use any content they post within the learning environment.

Content Restrictions

Students must not upload, post, or distribute content within any BeautyPlus Academy learning platform that:

  • Is defamatory, obscene, discriminatory, profane, pornographic, abusive, harassing, or threatening;
  • Contains viruses or other destructive or contaminating code;
  • Infringes any copyright, trademark, patent, or trade secret, or violates any right of privacy or publicity;
  • Is irrelevant or inappropriate to the subject matter of any discussion forum; or
  • Otherwise violates any applicable law.

Academic Misconduct

Academic misconduct is any form of dishonesty in relation to a formal academic exercise. BeautyPlus Academy takes academic misconduct seriously and will investigate and address any suspected breach. Forms of academic misconduct include:

  • Plagiarism: reproducing or adopting another person’s work without proper acknowledgement;
  • Fabrication: falsifying data, information, or citations in any formal assessment;
  • Deception: providing false information in relation to a formal academic exercise, including false claims about submitted work or missed deadlines;
  • Cheating: giving or obtaining unauthorised assistance in any assessment;
  • Bribery: exchanging assessment answers for money or other consideration; and
  • Impersonation: assuming another student’s identity to provide an unfair advantage.

BeautyPlus Academy will vigorously investigate and pursue any participant suspected of engaging in any form of academic misconduct. Consequences may include formal warning, cancellation of enrolment without refund, and/or referral for civil prosecution.

Code of Conduct — Online Forums and Discussion Boards

Some BeautyPlus Academy courses include discussion forums and collaborative activities. Participation is encouraged but optional. Students should assume that all forum postings are accessible to other participants and should conduct themselves professionally at all times.

The following types of postings are strictly prohibited:

  • Messages that are offensive, obscene, defamatory, or harassing;
  • Messages that discriminate against any person on the basis of race, religion, gender, age, disability, or any other protected characteristic;
  • Confidential, privileged, or commercially sensitive information;
  • Communications that breach any applicable law;
  • Advertisements or unsolicited self-promotions;
  • Personal information such as addresses, phone numbers, or other identifying details; and
  • Spam or irrelevant, distracting, or misleading content.

BeautyPlus Academy reserves the right to remove, edit, or reject any content deemed unacceptable without prior notice. Students remain solely responsible for all content they post.

Terminating Events

A breach of any of these terms and conditions may constitute a terminating event. The outcome of a terminating event may include any or all of the following, depending on the circumstances:

  • A formal written warning;
  • Suspension of access to training and/or assessment; or
  • Cancellation of enrolment without refund, and/or referral for civil prosecution.

Whether a breach constitutes a terminating event is at the sole discretion of BeautyPlus Academy management.

Monitoring and Continuous Improvement

The CEO of BeautyPlus Academy is responsible for ensuring compliance with this policy and for all continuous improvement processes relating to fee administration and refunds. Student Services is responsible for processing refund requests in accordance with this policy.

All staff, including those from contracted third-party providers, are required to comply with the provisions of this policy. The CEO will ensure that all relevant staff are made aware of their obligations under this policy.
